How to Submit a Proposal

Use the online CFP form on the Oxford Abstract portal and complete all areas of the form. You may submit more than one proposal, but you must submit a separate form for each session proposed.

You need to create an account with Oxford Abstracts. On their portal you will then be able to save and revise drafts, and you will receive automatic information about the status of your application.

In addition to your application with title and synopsis, we ask you to provide the outcomes for the participants of your session and specify the type of audience your proposal targets, as well as the format you think is most suitable for your presentation.

Main Contributor

Please note that the first person noted in the proposal form, will be the main contact person, through whom all communication will take place. The main contact person does not necessarily have to be the speaker who will present at OEB, but please ensure that the speaker is mentioned in the proposal with his biography and details.

Visual Samples, Materials, Videos and Links

Including visual materials can enhance your proposal. These can include sample slides, worksheets, handouts, a short introduction video, or past speaking videos of the speaker. You can add a YouTube & or drive link in the external material section.
 

Session Format Details

  • Half-day (3 hours) and Full-day (6 hours) Pre-Conference Workshops take place on Wednesday, 3 December and cover specific learning goals and outcomes for attendees. They have a detailed agenda and take a hands-on approach to explore practical solutions, develop practical skills and receive in-depth insights. Prior registration is required and the workshops may be fee-based. The OEB team will discuss the organisation of these events in detail with facilitator(s).
     
  • A Boardroom Dialogue is a 60 minutes networking event centred around a specific theme or community that encourages attendees to connect around shared interests. It is led by a single facilitator who presents his/her insights (max. 10 minutes) and prepares a short agenda with discussion points. The facilitator guides a conversation on the topic, facilitates networking and brings focus to the discussion, so that everyone attending can learn from each other as a group and build connections.
     
  • Learning Cafés are designed for concurrent small group discussions of specialised topics, with the facilitator/moderator leading the discussion. This participatory format allows for a highly interactive session lasting between 60-90 minutes with concurrent group discussions happening in a large open room with round tables.
     
  • A How To session of either 60 or 90 minutes takes a hands-on approach and offers peer-learning activities, exercises, and strategies you can take back and implement in your working environments.
     
  • A Presentation Panel is a curated session of 45, 60 or 90 minutes chaired by a moderator where short presentations of 10 to 15 minutes (by single speakers) are grouped to discuss an overarching pertinent issue or topic, after which time is dedicated for a lively and informative Q&A between the panel and participants attending. The focus of these sessions is on sharing information and the moderator will identify and support opportunities for this, as well as for engagement and interaction.
     
  • Panel Discussions are four- to five-person panels that focus on vibrant topics of current concern and professional interest. They are a chance to compare experts’ disciplinary expertise quickly with an active, participating audience. Submissions for a Panel Discussion require a designated moderator to organise and facilitate the interchange between the panel and the audience. Submissions for Panel Discussions should identify panel members and the expertise each member contributes to the session (panel proposals need to include actual panellists’ names instead of placeholders). This format will be scheduled as one 60/90-minute session.

Speaker Terms and Conditions

Speakers that are accepted through the Call for Proposal have to register for the conference at the reduced speakers’ rate of EUR 495 (excl VAT) which includes the speakers’ reception, lunches, coffee breaks and materials.

  • I confirm that I am aware that I need to ensure sufficient funding to register and to support my travel to and accommodation in Berlin, should my proposal be accepted.
  • I confirm that at least one of the applicants listed in the proposal will participate as an on-site speaker at OEB 2025.

If the speaker represents a commercial organisation which stands to gain from visibility with our audience, you can bypass the Call for Proposal selection process by booking a Thought Leadership package that includes a talk on the agenda. For more details, please contact @email

  • Should this proposal be accepted, I agree to collaborate with the organisers and consider guidelines, suggestions and possible adaptations to format and content.
  • I am aware that, if my proposal is accepted for OEB 2025, my name and submitted bio and photo will be used for promotional purposes by OEB Learning Technologies Europe GmbH to inform participants about the agenda of the event.
  • I am aware that, if my proposal is accepted for OEB 2025, my contribution may be recorded (video and audio) and my slides may be requested for post-event promotional purposes. If you do not wish your contribution to be accessible to delegates in the online conference library after the event, please feel free to inform our programme team @email in the lead up to the event so that we can make sure it is not included.
